1. General Refund Policy

We understand that plans can change. Our refund policy is designed to be fair to both participants and organizers, considering the advance planning required for the event.

Refund Schedule:

  • 30+ days before event: 80% refund (₹799) - Processing fee: ₹200
  • 15-29 days before event: 50% refund (₹499) - Processing fee: ₹500
  • Less than 14 days: No refund - Transfer option available

Note: Processing fees cover administrative costs, payment gateway charges, and non-recoverable expenses already committed for your participation.

2. Special Circumstances

We may provide full or partial refunds outside the standard policy for:

Medical Emergencies:

  • Serious illness or injury (medical certificate required)
  • Hospitalization during event dates
  • Doctor-advised travel restrictions

Travel Restrictions:

  • Government-imposed travel bans
  • Visa denial (with official documentation)
  • Natural disasters affecting travel

3. Transfer Policy

If you cannot attend but know someone who can, transferring your registration might be a better option than cancellation.

Transfer Options:

  • Name Transfer: Transfer your registration to another person (₹100 fee)
  • Future Event: Transfer to next Asia One event (subject to availability)
  • Credit Note: Receive event credit for future use (valid 2 years)

Transfers are often more beneficial than cancellations, especially for last-minute changes.

4. Refund Process

How to Request a Refund:

  1. Email refunds@asiaone.community with your request
  2. Include your registration details and reason for cancellation
  3. Provide supporting documentation if claiming special circumstances
  4. Receive confirmation and refund timeline within 2 business days

Processing Timeline:

  • Review: 2-3 business days for request review
  • Approval: Email confirmation with refund amount
  • Processing: 5-7 business days for payment processing
  • Receipt: Refund appears in original payment method
